A smooth tenancy is, above all, a well-documented tenancy. Whether you rent out a whole flat or a single room, a few simple documents prevent the vast majority of disputes. Here is the short list.
Rent receipts. A rent receipt is written proof that rent and charges were paid for a given period. Tenants need it as proof of address and as a payment history for future rentals โ and issuing one every month costs the landlord nothing. Our free rent receipt template generates it in seconds.
The inventory report. Done at move-in and move-out, it describes the condition of the property room by room, and it is what decides whether the deposit is returned in full. Take dated photos as well: they are worth gold in a disagreement.
Proof of accommodation. If you host someone free of charge (an adult child, a friend, a relative), they will need a proof of accommodation letter for administrative procedures, usually together with a copy of your ID and a utility bill in your name.
A written agreement. Even for informal arrangements โ renting a room to a friend, a short sublet with the owner's consent โ putting the basics in writing (amount, period, what is included) protects both sides. For a main-residence lease, use the official regulated contract of your country, as mandatory clauses usually apply.
Keep copies of everything. Receipts, reports, letters: keep a signed copy of each document, on paper or scanned. Most disputes die instantly when one party produces the signed paperwork.
